How to summarize calls with AI and save them to your CRM

To summarize calls with AI, trigger a workflow when each call ends, send the recording to AI for a transcript and summary, and save both to the caller’s record in your CRM. This guide shows the full n8n build, from the call ending to a clean CRM record, with no manual notes.

Every client call contains valuable information: promised next steps, urgent concerns, key case details. But when your team is focused on the conversation itself, things get missed. Notes are incomplete, summaries get written hours later from memory, and important follow-ups fall through the cracks.

An automation that records, transcribes, and stores every call fixes all of that.

Why this is worth setting up

No more manual note-taking. Your team can stay fully present during the call. The moment a call ends, a transcript and summary are generated and stored in your CRM automatically.

Automating other processes. The automation can detect action items and kickstart workflows such as sending a booking link, generating engagement letters, or creating payment links.

Process optimization. Once you have captured enough calls, you can analyze what questions clients keep asking, where handoffs break down, and what information they are missing, then use that to tighten up your processes.

What this workflow does

This n8n workflow makes sure every completed Dialpad call automatically becomes a clean CRM record, with a full transcript and summary tied to the right person.

It accomplishes two things:

  1. Captures the call context instantly as a transcript and summary, so nothing gets lost.
  2. Routes it to the right record in your CRM, attaching it to an existing client record or creating a new lead if it is someone new.

What tools do I need?

  • Dialpad or Zoom for the webhook trigger and call recordings
  • n8n for workflow automation
  • ChatGPT for transcription and summarization
  • Your CRM: PipeDrive, Clio, HubSpot, Lawmatics, Monday.com, and others all work

How does this automation work?

Dialpad trigger node. Dialpad fires a webhook the moment a call ends, triggering this workflow with the call metadata attached.

Extract call recording file. This step grabs the recording URL and file details to process downstream.

Transcribe the recording. ChatGPT generates a full call transcript.

Summarize the call. A clean summary is created capturing what the caller needed, key details, next steps promised, and urgency level.

Look up the client in your CRM. The caller's phone number is searched against your existing records.

Branch on whether they are an existing client. For an existing client, the transcript and summary are attached directly to their record. For a new caller, a new lead is created first, then the transcript and summary are attached to it.

Frequently asked questions

Which phone or meeting tools can I summarize calls from?

This workflow uses Dialpad, which fires a webhook the moment a call ends. Zoom works the same way for call recordings.

What goes into the AI call summary?

What the caller needed, the key details, the next steps that were promised, and how urgent it is. The full transcript is saved alongside it.

What happens if the caller is not in my CRM yet?

The workflow searches your records by the caller’s phone number. If there is no match, it creates a new lead first, then attaches the transcript and summary to it.
