How to automate client update emails and track satisfaction

To automate client update emails, trigger a workflow whenever a client’s status changes in your CRM, send a templated update explaining what happened and what comes next, then follow up with a short satisfaction survey. This guide shows the full n8n build, using a law firm’s case milestones as the worked example.

The number one complaint law firm clients have is not that their case is taking too long. It is that they have no idea what is going on.

Clients do not understand that courts have backlogs, filings take time, and some cases simply move at their own pace. What they struggle with is not the wait itself, it is the silence. Most just need to hear something like:

We filed your documents with Los Angeles County. Expect a 30 day turnaround.

Firms that stay proactive about setting those expectations build trust, even when the news is just that everyone is still waiting.

Here is how to automate that entire touchpoint and turn it into a feedback opportunity at the same time.

What does this do?

As a client moves through each phase of their case, this workflow does two things automatically:

  1. Keeps them informed. Sends a timely update, sets expectations on next steps, and shares any relevant documents.
  2. Captures feedback. Asks for a satisfaction rating after key milestones, helping you catch unhappy clients early and collect reviews from happy ones.

What tools do I need?

  • n8n
  • PipeDrive, or the CRM of your choice
  • Gmail
  • JotForm for the survey

How does this work?

Webhook node. Detects when a client's status updates in your CRM, for example moving to "Documents filed".

First Gmail node. Sends a templated email to the client explaining what just happened and what to expect next.

Second Gmail node. A follow-up email sends a short JotForm survey asking the client to rate their experience from 1 to 10.

Wait node. The workflow pauses until the client submits their rating.

HTTP node. Adds the client's JotForm response to your CRM.

Conditional nodes. If they rated 8 or above, nothing else is needed. If they rated 7 or below, your staff gets flagged to follow up personally.

Frequently asked questions

What triggers the client update emails?

A webhook that fires when the client’s status changes in your CRM, for example when it moves to “Documents filed”. Each status can send its own templated email.

Can I use a different CRM or survey tool?

Yes. PipeDrive and JotForm are used here, and any CRM that can send a webhook on a status change works in its place.

What happens when a client gives a low rating?

If they rate 7 or below, your staff gets flagged to follow up personally. A rating of 8 or above needs nothing else.
