To automatically create calendar events from emails, connect your inbox to an automation tool like n8n, have AI pull the date, time and links out of each email, and let the workflow create the event and send the notifications. This guide walks through that exact build, using court hearing emails at a law firm as the worked example.

If you are running a law firm, your time is better spent on casework than copying dates out of emails. Calendaring court hearings is one of the most repetitive tasks in your practice, and one of the easiest to automate.

The typical process looks like this: an email comes in, someone opens it, confirms the case, finds the date and Zoom link, creates the calendar event, then notifies the team and client. It feels quick, but multiplied across dozens of hearings a month it adds up fast. That is before accounting for the chance of missing the email completely.

Here is how to build an automated calendaring system using n8n and your CRM.

What tools do I need?

  • n8n, the automation platform that connects everything
  • Gmail, though Outlook works just as well
  • OpenAI to read and extract key details from emails
  • Google Calendar, or Outlook Calendar
  • PipeDrive as the CRM. Airtable, Google Sheets, and Lawmatics all work here
  • Gmail for notifications, or swap in Slack, Teams, or WhatsApp if that is what your team uses

How does this automation work?

Gmail node. Monitors your inbox for incoming court hearing emails. Use Gmail's search syntax to filter on sender, subject line, and other criteria.

OpenAI node. Extracts key information such as cause number, hearing date and time, and any Webex or Zoom links.

First PipeDrive node. Checks your CRM to pull in the related case information.

Second PipeDrive node. Checks your CRM to pull your client's details.

Google Calendar node. Creates an event with the relevant title, description, location, and time. It also automatically invites your client.

Gmail node for staff. Your team gets an email letting them know the event has been created.

Gmail node for the client. Your client receives a professional confirmation email. This is also a good opportunity to attach any documents they should have before the hearing.

Frequently asked questions

Can I automatically create calendar events from emails in Outlook instead of Gmail?

Yes. The same workflow works with Outlook for the inbox and Outlook Calendar for the events. Swap the Gmail and Google Calendar nodes for their Outlook versions.

Do I need a CRM for this to work?

The CRM steps pull in the related case and client details so the event and the emails are complete. PipeDrive is used here, and Airtable, Google Sheets and Lawmatics all work in its place.

How does the automation know which emails to turn into events?

The Gmail node uses Gmail's search syntax to filter on sender, subject line and other criteria, so only the emails you care about start the workflow.
